This Privacy Policy explains how personal data is collected, used, stored and protected through the FlexTour Mobile application (the "App") and related FlexTour services, provided for tour guides and tour leaders working with Flex Travel.

Software development, hosting and maintenance of the App are carried out on behalf of and under the instructions of Flex Travel by YATPORT TURİZM TEKNOLOJİ DANIŞMANLIK TİCARET LİMİTED ŞİRKETİ ("Yatport"), acting as data processor.
The App only collects data necessary to provide the service. Some data is entered by you (e.g. expense entries, receipt photos), some by the Flex Travel office (e.g. tour assignments), and some is generated automatically while you use the App (e.g. push token).

We do not collect your location, contacts, health data or any special categories of personal data. Personal data of tour participants (tourists) is not processed in the App.
Camera: to photograph expense and advance documents. Used only when you take a photo.
Photo library: to select and upload documents from your gallery. Only the image you select is uploaded.
Notifications: for tour changes, messages and approvals. You can turn them off at any time in your device settings.
The App does not request location, microphone or contacts permissions.
Creating and approving your account and providing secure sign-in,
Delivering the tours, schedules and changes assigned to you,
Recording expenses, advances, currency exchanges and sales; tour accounting and account reconciliation,
Communication with the Flex Travel office and responding to support requests,
Complying with statutory bookkeeping, tax and accounting obligations,
Keeping the service secure, detecting and fixing errors.
Your personal data is not sold, rented or shared with third parties for advertising or marketing purposes. It is shared only with the following service providers, and only to the extent necessary to provide the service:

Data may also be disclosed to competent public authorities (e.g. tax offices, courts) where required by law. Transfers abroad are carried out in accordance with Article 9 of Turkish Personal Data Protection Law No. 6698. See the Personal Data Notice for details.
The App shows no advertising. The App does not track you across apps or websites owned by other companies and uses no third-party advertising or analytics tools.
Account and contact details: while your account is active; deleted immediately when the account is deleted.
Expense, advance, cash and sales records and receipt images: 10 years from the end of the relevant year, as required by law.
Messages and support requests: for the duration of the working relationship and thereafter for the statutory limitation period for possible disputes.
Security and transaction logs: for the period required by applicable law.
Backups: encrypted daily backups are kept for 7 days and weekly backups for 4 weeks; deleted data is removed from backups at the latest at the end of this period.
All communication between the App and our servers is encrypted (HTTPS/TLS). Passwords are stored irreversibly hashed. Server and database access is restricted to authorized technical staff and takes place over VPN. Data is backed up daily, encrypted, at a separate location. Office staff can only access the data needed for their role.
You can delete your account at any time in the App via Account > Delete my account. If you no longer have access to the App, you can submit a request by following the instructions at https://flextravel.com.tr/en/account-deletion. That page explains which data is deleted and which is retained because of legal obligations.
Under Article 11 of Law No. 6698, you may contact info@flextravel.com.tr to learn whether your data is processed, request information, ask for correction or deletion, and exercise your other rights. Details: https://flextravel.com.tr/en/personal-data-notice
The App is not intended for anyone under 18 and is only for adult professionals working with Flex Travel. We do not knowingly collect data from anyone under 18.
We may update this policy when needed. The current version is always published on this page, and significant changes are announced in the App.
